10 Tips for Complying with Sales Tax Regulations

There’s nothing sexy about sales tax compliance. There really isn’t. But there is something mighty compelling about not running afoul of the tax authorities.

 

Following some simple tips can help put even the least assiduous person on the path to successful sales tax compliance. And so, without further ado, here they are:

 

1.  Confirm your customers’ tax-exempt status. Exemption certificates need to be accurate, up to date, and readily accessible.

2.  Don’t ignore tax notices. Nothing good ever comes from letting a tax notice molder at the bottom of your to-do stack, even if you’re sure you’re blameless.

3.  Efile when you can (and when you must). Some states require electronic filing for all businesses, while others prefer it. For more information about a particular state’s requirements, check out the Avalara TaxRates state guides.

4.  Find out if you’re required to make prepayments. If you are, your filing requirements may differ from the standard filing requirements. For example, returns for some prepayments must be filed online in North Carolina, while others must be filed on paper.

5.  Get to know state nexus rules. If you have sales tax nexus with a state, you’re required to register with the tax department and collect and remit sales tax. Nexus rules have been changing at a rapid rate since the Supreme Court of the United States removed the physical presence rule in June 2018; it’s now easier than ever for a state to impose a sales tax collection obligation on remote sellers. 6.  Identify taxability rules in states where you collect. Taxability rules for products and services differ from state to state (even from city to city in some states). Be sure you’re collecting what you should wherever you have nexus.

7.  Keep excellent records. You’ll need them if you’re ever audited. Auditors need to be able to track and verify each transaction from start to finish.

8.  Update filing frequencies on your tax calendars. A change in your business can lead to a change in filing status. It’s up to you to know how frequently you’re required to file.

9.  Reconcile! Reconcile! Reconcile! Start with the account balance at the beginning of the accounting period, then add the amount billed to customers and subtract the sales and use tax paid. The end result should match the current balance of your sales tax payable account.

10.   Use geolocation to determine sales tax rates. Relying on ZIP codes can lead to inaccurate sales tax rates. Geolocation provides more accurate rates, down to the rooftop.

Finally, consider automating sales tax compliance. Sales tax compliance is both essential and thankless: Your customers won’t praise you for getting sales tax right, but they’ll be sure let you know if you get it wrong. Automating sales tax calculation, collection, and/or remittance helps minimize costs and increase your chances of getting it right.

Boat Outfitters

It's been a great start to the new year here at Kadro, and we are looking forward to many new projects with our clients in 2019.

For our first client spotlight of the year, we'd like to highlight Teak Isle, a Manufacturer-to-Consumer company specializing in creating custom boating and marine applications. Teak Isle operates the B2C website Boat Outfitters for selling marine parts, accessories and custom engineered marine projects.

One of our goals for 2019 is to help spread awareness of new eCommerce companies that we are working with that can help you maximize your investment in eCommerce. Metrical has launched a new offering to increase online conversion rates by using their artificial intelligence technology.

Introducing Teak Isle

BoatOutfitters.com is one of three eCommerce sites provided by Teak Isle. Teak Isle selected Kadro and Magento Commerce Cloud to evolve and expand their online business.

The BoatOutfitters.com project included a responsive web design and implementation, migration of their existing ASP/.Net site and data to Magento Commerce, integration with Epicor ERP, and integration of Nextopia for site search.

New Technology Spotlight

Metrical uses predictive AI to help retailers dramatically increase their online conversion rates, in some cases by more than 20%! REEDS Jewelers

As we prepare for and head into the 2018 Holiday season, we want to spotlight our longest standing client of 17.5 years (they were our first client from March 2001) - REEDS Jewelers of Wilmington NC.

Founded in 1946, REEDS Jewelers is a full-service multi-channel jewelry retailer with stores in 13 states, and an industry leading ecommerce website, REEDS.com.

Our Technology Partner Spotlight this month is Reflektion. They provide a unified customer engagement platform that provides an industry-leading site search and personalized category page management.

Introducing REEDS Jewelers

For over 17 years, Kadro has worked with REEDS Jewelers as their eCommerce solution provider and partner. Over that time, we have delivered on seven site redesigns, countless custom site features and integrations, and evolved their online business to an omni-channel solution.

In March 2018, Kadro and REEDS successfully launched the replatform of REEDS.com on Magento Commerce.

The success of this project has largely been measured by achieving parity with well established business processes, required custom features, and mission critical back-office integrations required to operate their online business. This effort was a large collaborative effort with REEDS' eCommerce and IT team, and many technology partners including Reflektion, Oracle Bronto, Worldpay, Riskified, Synchrony, Avalara, Coinbase, and Rackspace.

StayWell Krames Patient Education

For the month of August, we are celebrating the launch of the B2B site for StayWell's Krames Patient Education - www.kramesstore.com.

We have been busy here at Kadro and have never been happier. We want to introduce everyone to the new MasonJars.com. Mason Jars MakerPlace is a multi seller eCommerce site built on Magento Commerce Cloud. We also want to highlight one of our partners who helped in making the Mason Jars' site launch a success, Avalara.
